What is a privacy policy?
A privacy policy describes how a company or organization manages the personal information which it collects, and the circumstances under which that information is shared.
What are VEC's privacy practices?
Virtual Expert Clinics Inc. (VEC) is committed to maintaining the privacy and security of your personal information. VEC's privacy policy meets all the requirements of privacy legislation in both the Federal and Provincial jurisdictions of Canada and the United States and is updated according to changes in legal and regulatory requirements.
Personal information gathered by our personnel is not disclosed or shared more widely than is necessary to achieve the purpose for which it was gathered. If we wish to retain this data and share it for purposes beyond which it was collected, such as use anonymously in published research, we offer individuals the opportunity to decline this use of their information. We also take measures to maintain the accuracy of this information and safeguard it from theft or accidental loss.
What is my personal information?
Personal information is defined as any information that can be used to identify or contact a specific individual. Exceptions to this are contact information used to communicate with businesses and information readily available to the public.
Why does VEC need my personal information?
VEC uses your personal information to respond to requests for services and information, and to keep you updated about VEC activities and products.
We may also use the information to assist in the development of new products and services, to provide information about the success of our services for internal research purposes, and to comply with legal requirements.
Will VEC give my information to third parties?
VEC may use independent contractors or partners to enhance our product or service offering. If the involvement of independent contractors, affiliates, or other service providers is required, you will be informed and your consent obtained before sharing your personal information with them if you have not already requested these services and given prior consent. Information is then only given to the extent necessary to meet your needs. VEC's independent contractors or affiliates are required to adhere to this privacy policy. VEC, however, is not responsible for the privacy practices of other service providers that we may reference.
Are there any exceptional circumstances where unauthorized disclosure may occur?
Circumstances where the use and/or disclosure of personal information is justified or permitted without consent include:
- where information is needed in order to satisfy the requirements of the Canada Revenue Agency (CRA) (e.g. income tax receipts)
- where required by law or by order or requirement of a court, administrative agency or other governmental tribunal
- where VEC believes, upon reasonable grounds, that it is necessary to protect the rights, privacy, safety or property of an identifiable person or group.
Can I see my personal information?
VEC aims to collect and maintain information so that it is accurate, complete and current as required for the purposes for which it is used. Upon your written request, we will provide you any specific personal information about you that we have collected, used or disclosed.
How do I give permission for VEC to use my personal information?
Your provision of personal information to VEC means that you agree that we may collect, use and disclose your personal information in accordance with this privacy policy. If you do not agree with these terms, please do not provide any personal information to VEC. Failure to provide your personal information to VEC may prevent us from offering you the services and/or programs you have requested.
How do you protect electronic information?
We use password protocols, encryption software and a server with firewalls to protect personal and other information we receive, as well as when payment is made online. Our software is routinely updated to maximize protection of such information.
How can I change my mind?
By providing us with written notice, you can withdraw your consent to collect and use your personal information at any time (unless withdrawing the consent would prevent the performance of our or your legal obligations). However, the withdrawal of your consent may prevent us from contacting you, serving you and impact on our ability to maintain a relationship with you.
How long do you keep my information?
VEC keeps personal information only as long as it is required for the reasons it was collected. The length of time we retain information varies, depending on the nature and purpose of the information. We are required to maintain information needed by the CRA for six (6) years. When your personal information is no longer required for company purposes, the information is either physically destroyed or deleted.
